Privacy Policy
About this policy
This Privacy Policy explains how Kid Co. Business School collects, uses, stores, and protects personal information about program participants and their families. We are committed to handling your information with care and in a way you would reasonably expect.
As a small business operator, Kid Co. Business School may be exempt from the Privacy Act 1988 (Cth). However, we voluntarily commit to handling personal information in line with the Australian Privacy Principles (APPs).
What information we collect
We collect personal information necessary to run the program safely and effectively, including:
- About the child: name, date of birth, school year level, medical conditions, allergies, medications
- About parents and guardians: name, relationship, phone number, email address
- Emergency contacts: name, relationship, phone number
- Other: photos and videos (with separate consent), any additional information you choose to share
Why we collect it
- To safely manage participation in sessions and the market day
- To contact parents and emergency contacts if needed
- To accommodate medical needs and keep participants safe
- To communicate program updates, schedules, and other relevant information
- To document and share program outcomes (photos and videos — with consent only)
How we store it
- Paper forms are kept in a locked location when not in use
- Digital copies are stored in a password-protected environment accessible only to Tom Allen
- Information is not stored on shared or public platforms
Who we share it with
We do not sell or trade your personal information. We will only share it:
- With emergency services or medical personnel in a medical emergency
- With Territory Families if we are required to make a mandatory report under child protection law
- With other parties if required by law
We will not share your information with any other third party without your explicit consent.
How long we keep it
Enrolment forms and medical information are retained for a minimum of seven years following the conclusion of the program. After this period, records are securely destroyed. Photos and videos are retained only for as long as is reasonably necessary for the purposes for which consent was given.
Your rights
You have the right to request access to the personal information we hold about you or your child, ask us to correct any inaccurate information, and withdraw consent for photography or media use at any time. To exercise any of these rights, contact Tom Allen using the details below.
Media Consent Policy
During the Kid Co. Business School program — including the market day — Tom Allen may wish to take photos or videos of participants for use in program documentation, social media, or promotional materials. Consent is collected at the time of enrolment via the enrolment form.
What consent covers
- Private documentation: photos or videos kept as a private record of the program, not shared publicly
- Social media and online use: photos or videos shared on Kid Co.’s social media accounts or website, where your child may be identifiable
- First name use: your child’s first name used in captions or tags alongside their image (surnames are never used)
Media and press coverage
If a journalist, photographer, or other media representative requests to cover the program, Tom Allen will seek your separate written consent at that time before any images of your child are used. You will always have the opportunity to say yes or no to specific media coverage, regardless of what you have indicated on the enrolment form.
Withdrawing consent
You may withdraw media consent at any time by contacting Tom Allen in writing. Withdrawing consent will not affect your child’s participation in the program. Images already shared publicly cannot be retracted, but no new images will be used after consent is withdrawn.
If no media consent form is returned, no identifiable images of your child will be taken or used.
Proceeds Policy
This policy explains what happens to any money generated through Kid Co. Business School program activities, including product sales at Nightcliff Sunday Market. Its purpose is to be transparent with families, and to make clear that proceeds from participants’ work benefit the program — not the facilitator personally.
Who revenue belongs to
Any revenue generated from the sale of products at Nightcliff Sunday Market, or any other trading activity undertaken as part of the Kid Co. program, belongs to the Kid Co. program. It does not belong to Tom Allen personally. This applies regardless of which participants made the products, how much revenue was generated, or how many sessions were attended by individual participants.
How proceeds are spent — priority order
Priority 1 — Cost of goods for future rounds
Materials, craft supplies, and production inputs so future cohorts can make and sell products. This is the primary purpose of the seed fund: reducing the cost burden on future participants.
Priority 2 — Reducing fees for future participants
If the fund is sufficient to cover Priority 1 and still has a surplus, future cohorts pay reduced fees — or no fees at all. The seed fund directly translates into access.
Priority 3 — Other direct program costs
Once the fund comfortably covers Priorities 1 and 2 for at least one future round (threshold: approximately $500, or one full round of materials costs), any remaining surplus may be used for venue hire, insurance, and other operational costs.
In all cases, proceeds may not be used for:
- Facilitator wages or personal income of any kind
- Personal expenses of any kind
- Any purpose not described above
Transparency
A simple financial summary is provided to all enrolled families at the conclusion of each program round, showing total sales revenue, how it was allocated, and the balance carried forward.
If the program does not continue
If the Kid Co. program ceases operation for any reason, any remaining proceeds will be donated to a charity nominated by the most recent cohort of participants. If that is not possible, proceeds will be donated to a Darwin-based community organisation at the facilitator’s discretion. In no circumstances will remaining proceeds revert to the facilitator personally.
